Creative Services Standards and Practices

The following information outlines the creative services policy of UC Regents/UCLA as represented by The UCLA School of Public Affairs, regarding the commissioning of work for hire.

 This general policy applies to all creative services unless an alternate agreement is made in writing.

  • DESIGN: Design projects must be created in Adobe Creative suite software.  For print publications, a completed package of InDesign files collected with associated artwork and fonts; along with a high resolution PDF, must be delivered at the completion of the project. 
  • PHOTOGRAPHY: High resolution JPG files must be provided on disk or made available via download.
  • EDITORIAL SERVICES: Completed manuscript must be provided in electronic word processing document.
  • VIDEOGRAPHY: Videographers are to provide their completed work, along with all raw video, in the file format requested by UCLA.

Commissioned Work for Hire
By accepting the commission of Creative Work, the artist expressly acknowledge that the material contributed by the artist hereunder, and  services hereunder, are the sole property of UC Regents/UCLA. The creative work the artist undertakes hereunder shall be considered a "work made for hire" as defined by the copyright laws of the United States. UC Regents/UCLA shall be the sole and exclusive owner and copyright proprietor of all rights and title in and to the results and proceeds of your services hereunder in whatever stage of completion. If for any reason the results and proceeds of  services hereunder are determined at any time not to be a "work made for hire,” the artist hereby irrevocably transfer and assign to UC Regents/UCLA all right, title and interest therein, including all copyrights, as well as all renewals and extensions thereto.

 The artist agrees that UC Regents/UCLA may make any changes or additions to the Creative Work prepared by the artist, which UC Regents/UCLA in our sole discretion may consider necessary, and may engage others to do any or all of the foregoing, with or without attribution to the artist. The artist further agrees to waive any so-called moral rights in the Creative Work. 

The artist represents that, except with respect to material furnished to the artist by UC Regents/UCLA, the artist is the sole author of the Creative Work and all of the services are original and not copied in whole or in part from any other work; that the Creative Work is not libelous or obscene, or knowingly violates the right of privacy or publicity, or any other rights of any person, firm or entity.

Note to UCLA Luskin School staff: If providing this information vie email to an artist for agreement confirmation, please include the following language:

"By responding affirmatively to the message, you are agreeing to the terms of this commissioned work for hire."
